Privacy Policy
This Privacy Policy explains how Lovelace & Co LLC, doing business as Lovelace Photo Co. ("Lovelace Photo Co.," "we," "us" or "our") collects, uses and protects personal information when you visit lovelacephoto.co (the "Site"), contact us, or work with us as a client. Lovelace Photo Co. is a DBA (fictitious business name) of Lovelace & Co LLC, a California limited liability company based in Los Angeles, California.
The short version: we collect what we need to reply to you and photograph your day well. We don't sell or share your personal information for advertising, and much of it is processed on servers we run ourselves.
1. Information we collect
Information you give us
- Inquiries and "Check your date": names, email, phone number, event date, event type, venue or location, guest count, budget range, how you found us, and anything you write in your message.
- Wedding questionnaire (booked clients): names and contact details for you and your partner, backup contacts, your coordinator's details, getting-ready, ceremony and reception locations and times, coverage times, wedding party details, vendor names and handles, family photo lists, and planning notes you choose to share. This can include sensitive details you volunteer, such as family relationships or a guest's mobility needs; we ask for these only to take care of people on the day, and you're never required to share them.
- Files you upload: such as family photo lists or planning packets from your coordinator.
- Gallery access requests: your name and email, so we can send you access.
- Emails, calls and text messages you send us, and payment and contract details handled through our booking and payment providers.
Information about other people
Our forms may ask about your partner, family, wedding party, coordinator and vendors. Please share only what they'd be comfortable with us knowing. We use it only to plan and deliver your photography.
Information collected automatically
- Technical data: IP address, browser and device type, pages visited, referring page and timestamps, collected in standard server and security logs and by our content delivery and security provider.
- Browser storage: our long forms save your answers in your own browser (local storage) as you type, so you don't lose progress. That data stays on your device until you submit or clear it. We don't use advertising cookies or cross-site tracking. If we add website analytics, we'll use privacy-focused, cookie-light tools and update this policy.
2. How we use your information
- To reply to inquiries, check availability and send pricing information.
- To prepare and perform your services agreement: planning, timelines, shot lists, location scouting, coordination with your planner and vendors, and delivering your photos.
- To create planning documents such as your draft wedding day timeline, including sunrise, sunset and golden-hour times calculated for your venue address.
- To keep contact records for your wedding (for example, adding you, your backup contact and your coordinator to our business contacts).
- To send you important messages about your booking by email, phone or text message.
- To credit and tag your vendors when your photos are shared, and, with permission as set out in your agreement, to feature your wedding on our blog and in our portfolio.
- To improve the Site, keep it secure, prevent spam and abuse, and comply with legal, tax and accounting obligations.
We process information on these bases: to take steps before and to perform a contract with you, our legitimate interests in running and improving our business, your consent (which you can withdraw at any time), and legal obligations.
3. Automated and AI-assisted tools
We use automation to handle form submissions quickly, for example to route your answers to us, save uploaded files to our client storage, and draft your timeline. Some drafting (such as a first draft of a blog post about your wedding, written only from details you shared) is done by an AI model that runs on our own servers, so your answers are not sent to an outside AI company for this. A person reviews everything before it's used or published, and no decisions with legal or similarly significant effects are made about you by automated means alone.
To calculate sunset and golden-hour times, the venue address (not your name or contact details) is looked up with a public mapping service (OpenStreetMap Nominatim) and a public weather and time-zone service (Open-Meteo).
4. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only as needed:
- Service providers that help us run the business under confidentiality obligations, such as website security and content delivery, email delivery, cloud documents and contacts (Google Workspace), gallery hosting, contracts and payments, and accounting.
- People involved in your day, such as a second photographer or assistant working with us, and, with your okay, your coordinator or planner (for example, sharing your timeline).
- Publicly, with permission: images and vendor credits in blog posts and portfolio pieces, as allowed by your agreement. Contact details are never published.
- Legal and safety reasons: to comply with law, enforce our agreements, or protect rights and safety.
- Business transfers: if our business is sold or reorganized, information may transfer to the successor, subject to this policy.
5. Text messages
If you give us your mobile number, we may text you about your inquiry or booking, such as confirmations, reminders and day-of logistics. We don't send marketing texts without your consent. Reply STOP (or just tell us) to stop non-essential texts at any time. Message and data rates may apply.
6. How long we keep information
- Inquiries that don't book: up to 2 years, then deleted or anonymized.
- Client records (contracts, invoices, questionnaire answers, correspondence): for the length of our relationship plus up to 7 years for tax, accounting and legal purposes.
- Photographs: we archive client images long-term as a backup service and for our portfolio as allowed by your agreement. You can ask us about archive deletion.
- Logs: kept for a short period for security, then deleted.
7. How we protect information
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS), access controls, private client storage and multiple backups. Much of our data is stored on systems we own and manage. No method of transmission or storage is completely secure, so we can't guarantee absolute security, but we take it seriously and will notify you as required by law if a breach affects your information.
8. Your privacy rights
Depending on where you live, including under the California Consumer Privacy Act as amended by the California Privacy Rights Act, you may have the right to:
- Know what personal information we collect, use and disclose, and get a copy of it.
- Correct inaccurate information.
- Delete your information, subject to legal and contractual exceptions (for example, records we must keep for taxes, or images covered by an existing agreement).
- Opt out of the sale or sharing of personal information. We don't sell or share it, so there's nothing to opt out of, but you can still ask.
- Limit the use of sensitive personal information. We only use it to provide the services you asked for.
- Not be discriminated against for exercising your rights.
To make a request, email [email protected] with the subject "Privacy request." We'll verify your identity by matching information we already have, and respond within the time required by law (generally 45 days). You may use an authorized agent with written permission. California residents may also request information about disclosures for direct marketing under California Civil Code § 1798.83; we don't make such disclosures.
We honor Global Privacy Control (GPC) browser signals as an opt-out of sale or sharing.
9. Children
The Site is not directed to children under 16, and we don't knowingly collect personal information from them through the Site. Photographs of children at family events are taken at the request of their parents or guardians. If you believe a child has sent us personal information, contact us and we'll delete it.
10. Third-party sites
The Site links to venues, vendors, maps, social media and other sites with their own privacy practices. This policy doesn't cover them.
11. Changes to this policy
We may update this policy as our business or the law changes. The "Effective" date above shows the latest version. If we make significant changes, we'll post a notice on the Site or let clients know directly.
